Based on the outskirts of Honiton in Devon, Land Rover Experience West Country is one of nine UK centres delivering off road driving experiences and professional 4×4 training courses using Land Rover’s iconic range of rugged and innovative vehicles.

Arcspeed have worked with the centre since 2020 – initially on a pilot project to demonstrate how our Mobile Asset Management app could be used to streamline the process of vehicle inspections and driver logins, and more recently to implement a full asset and work management capability using our Arcspeed AM (Asset Manager) platform.

The Challenge

Land Rover Experience West Country had already demonstrated some of the benefits of using digital technology to record vehicle logins and maintenance checks having set up a Google Forms based solution writing back to Google Sheets.

This allowed Instructors to record when they logged into a vehicle, report any issues or defects and to record an inspection checklist but had a number of key limitations which needed to be addressed, including:

  • No offline capability – the forms could only be accessed on an internet-connected device
  • Difficulties in integrating the capture of photos
  • No easy visibility of previously reported issues or vehicle damage
  • Only very basic data validation
  • Difficulties in integrating the accurate recording of fuel logs

Additionally, the Centre had a requirement for a simple and intuitive system to report and track other ad-hoc and scheduled work around the Centre including facilities and property maintenance activities and the recording and prioritisation of work on the extensive network of off-road training tracks and features across the 135 acre site.

Project Approach

Arcspeed worked closely with the LRE team to capture detailed requirements and to configure our Arcspeed AM platform to meet the needs of the business – this included:

  • Configuration and population of our Fleet Management module with vehicle data
  • Definition of asset types to align to the client’s requirements
  • Set up Job Codes to record scheduled and ad-hoc maintenance and faults
  • Configuration of features module to record vehicle damage and faults
  • Population of asset database with equipment, property and track data
  • Delivery of bespoke reporting dashboard
  • Tailored configuration of Mobile Asset Management App

Outcome

Following a live rollout including the delivery of superuser training to the management team, Arcspeed’s Mobile Asset Management App and Asset Manager Portal products are now fully embedded into day to day operations across the organisation.

From recording driver logs and daily inspections to keeping track of vehicle faults, recording and prioritising track defects and the management of safety and recovery equipment the system provides real-time visibility of work which needs to be done and the condition of key assets across the entire site.

We began discussions with Arcspeed when we were looking to bring a number of our current systems onto one platform. The idea was to make it easier for us to manage our fleet of cars and assets on site while improving communication between instructors.

The team at Arcspeed couldn’t have been more helpful when it came to creating a system that worked for our needs.
